Planning lessons for a trade show activation
The DocuSign project at Dreamforce in San Francisco on September 18, 2024 paired branded trucker hats with live personalization. The event photographs show the merchandise and guest experience; they are not a measurement of booth traffic, leads or sales.
For a similar activation, decide which part of the hat carries the company branding and which area the artist can personalize. Approve sample artwork, spelling choices, colors and the design menu before the show. A short menu gives guests a clear choice and helps the artists maintain a consistent workflow.
Size the team around the number of guests who will actually receive an item, the customization window and the complexity of the approved designs. For standard designs, 3J's uses approximately 25 items per artist per hour as a planning reference. Two artists across three hours would therefore have a theoretical capacity of 150 items; leave room for breaks, guest questions and variations in the designs rather than promise every item from that calculation.
Plan separate spaces for choosing a design, painting and collecting finished merchandise. If the exhibitor collects leads, the exhibitor should manage its own registration process and keep it from blocking the artists' work area. Confirm power, tables, chairs, load-in and venue rules before arrival.
